Terms and Conditions
In these Terms and Conditions:
Learn English Today Limited: Learn English Today Limited is the contractual company enacting all transactions. It will be referred to as “English Today” or “The Company” throughout these terms and conditions.
Organiser: The Organiser is the person booking a course with English Today, on behalf of a school or group of students.
Party Leader: The Party Leader is the person in charge of a group of people whilst visiting English Today and the UK.
Contract: The Contract is made between Learn English Today Limited and the appropriate school, agent or group for which a signature by the Organiser will be accepted. By submitting Registration Forms, the Organiser shall be deemed to have accepted these Terms and Conditions on behalf of the school or group.
You: “You” (or “Your”) means the Organiser and, where appropriate, the Party Leader, visiting staff and students.
We: “We” (or “Our”) means Learn English Today Limited and, where appropriate, its staff members.
Fees: Fees means an inclusive fee for registration, tuition, accommodation, food, course materials, and excursions except where identified otherwise in the contract. Fees may include port/airport transfers if stated in the contract.
Start Date: Start Date means the date of your arrival at English Today, Culford School.
End Date: End Date means the date of departure from English Today.
Law: The contract is governed by English Law and in the event of any dispute will be dealt with under the exclusive jurisdiction of the English courts.
2. Payment of Fees and Deposits
A non-refundable deposit (“the deposit”) of 10% of the total charge to be paid on booking and no later than 12 weeks prior to the date of the visit, or such other date as might be agreed, in writing, between English Today and The Organiser. The balance of the total price will be invoiced to The Organiser and must be paid no later than 4 weeks before arrival.
3. Not Included in Price
The total cost of port or airport transfers for groups may, or may not, be covered in the price, but the offer of contract will make this clear in each instance.
4. Payment Terms
Payments are normally to be made in Pounds Sterling or Euros, unless a separate arrangement is agreed in writing between English Today and The Organiser. The Organiser, on behalf of the visiting school, is responsible for meeting all bank transfer fees, which will be included in the Euro quotation.

5. Insurance and Liability
For the safety and security of students and visitors, English Today strongly recommends that all students and accompanying staff, regardless of which country they originate from, should have their own adequate travel and health insurance, arranged through a reputable insurance company, which provides cover for the individual concerned. It is the responsibility of all visiting personnel to satisfy themselves that the insurance is adequate to meet their individual needs.
To assist in meeting this requirement, English Today automatically arranges complimentary insurance cover, for fees, travel, personal possessions and medical emergencies, for every student attending its courses. Details are supplied with our contract paperwork and on our website. This insurance can be cancelled by request to English Today.
English Today, its directors, employees, representatives, and sub-contractors do not accept any liability to students or accompanying staff for any loss of possessions, injury, death, costs related to medical or dental treatment, or costs related to repatriation or for any other losses, damages (whether direct or indirect), compensation, costs or expenses unless negligence can be proved in a court of law in England English Today shall not have any liability to the individual for any loss, damage, costs, expenses or other claims for compensation arising from any information or instructions supplied by that individual which is, or are, incomplete, incorrect or inaccurate. Where English Today incurs costs due to incomplete, incorrect or inaccurate information, the individual will be liable for these extra costs. Page 3 of 6 V5
Nothing in any agreement you have with English Today affects any liability for death or personal injury caused by English Today’s negligence nor for fraudulent misrepresentation, nor your statutory rights as a consumer.
6. Changing or Cancelling Your Booking
a) If you change your booking by adding individuals:
You may change your booking by adding members at any time, providing that you have first checked availability with English Today and can send deposits immediately. English Today cannot guarantee that changes will be possible but will do their best to ensure that it can be done. If the change creates additional costs for English Today, then we reserve the right to pass those costs back to you up to a maximum of £50 per amendment. You must notify English Today in writing of any requests for changes to the booking.
b) If you replace a booking with a different student:
You may replace one student with another without charge, unless any costs were incurred by English Today as a result of the change. If the change creates additional costs for English Today, then we reserve the right to pass those costs back to you up to a maximum of £50 per amendment.
c) If you cancel your booking:
All cancellations must be notified to English Today in writing. There is no charge for cancellations up to 8 weeks prior to the commencement of the course but after that date an administration fee of 10% of the course fee per person, or any other fee stipulated in the booking forms, applies up to 4 weeks before the course, when a 50% administration fee will be charged. Cancellations at less than 4 days’ notice must pay the full fee.
7. Changes or Cancellation by English Today
English Today reserves the right to make alterations to the visit arrangements. Minor changes will be made without informing you of them. Where significant changes are to be made you will be notified of the change as soon as possible and will be given the option of accepting the visit with the changes or cancelling the visit. Occasionally it may become impossible to run a particular visit; in which case English Today reserves the right to cancel the visit at its discretion.
Compensation will be paid in the event of cancellation unless such cancellation is as a result of matters beyond the control of English Today. Where compensation is paid pursuant to this clause, such compensation will be no more than the money already received from you at that particular time. Page 4 of 6 V5
All groups will receive a programme prior to the commencement of the visit.
8. Force Majeure
For the avoidance of doubt “matters beyond the control of English Today” include such things as war, threat of war, natural and nuclear disaster, riots, civil strife, industrial disputes, terrorist activity, fire, flood or adverse weather conditions, or other similar events.
9. Public Holidays
If a Public Holiday falls within your chosen course dates, the programme may be altered accordingly.
10. Student conduct
Students are expected to behave in a fitting, polite and responsible way whilst representing English Today throughout the duration of their stay, including whilst taking part in their activity programmes and within their accommodation. If a student breaks the school code (which will be issued on arrival) or commits a serious offence, or breaks the law, especially if a student is caught using or buying drugs or shoplifting, they may be sent home early.
Groups of minors are to be accompanied on the visit by a responsible adult Party Leader, appointed by the organising school, who will have total responsibility for the conduct of the minors under his/her control at all times for the duration of the visit. In particular it shall be the responsibility of the adult to ensure that all local laws are obeyed including those relating to the consumption of alcohol and drugs. Party leaders are also responsible for the behaviour of their students at all times.
Individual student minors, attending English Today courses, will be supervised by a member of the English Today staff at all times.
In circumstances where the student has caused offence, damage, danger or distress to others, English Today reserves the right to change the accommodation of the student, or to exclude the student from the course and ask the Party Leader to return the student to his/her home country. In this event English Today’s obligations to the individual in respect of the visit cease immediately. In the case that the student must return to their home country, the fees will be non-refundable, and the parents/guardian of the student will have to make arrangements for the departure of the student at their own cost. During much of the course day, students will be managed by the staff of English Today, allowing the visiting supervisors to have “time off”. During Academic Year Group courses, once students retire to their accommodation, management of students will be the responsibility of their accompanying Party Leader(s), with a member of English Today on call in cases of emergency. During Summer School courses, English Today staff will be appointed to sleep at the students’ accommodation and be on hand 24 hours per day.
On confirmation of booking, English Today will provide a Medical Welfare and Consent Form, to be duplicated and provided for each student. By 2 weeks before start-date, you must return the forms to make English Today aware of any medical conditions, information regarding health or dietary requirements. The company should also be notified of any concerns or issues about any child’s welfare or personal life.
If a student has to be repatriated due to illness or accident, the Party Leader(s), parents and English Today will collaborate to ensure a swift resolution.
13. Residential Accommodation
All students will be accommodated in Eastfields House, for academic year group visits, which is the English Today Building within the grounds of Culford School. For Summer School, or other holiday courses, accommodation may be in Culford School boarding houses or in Eastfields House. Culford is an independent boarding and day school for boys and girls aged 1 to 18 years. Breakfast, lunch and dinner will be provided in the Culford School Ashby Dining Hall. Students will be accommodated in dormitory bedrooms, with bathroom facilities on each floor. Boys will be on one floor and girls on another. Up to 3 accompanying group leaders can be accommodated in 2 rooms.
Registering with English Today means you consent to the school storing and using your information. Any personal data that you supply to English Today will be held and processed only for the purpose for which it is supplied. We ensure that all personal data is captured, held and processed in accordance with the Data Protection Act 2018. The information you supply will be given to third parties only within the provision of this Act; it will not be given or sold to any third parties for publicity, marketing, data mining or other commercial practice. If you have a complaint, you should report it as quickly as possible to the Director of English Today School, who is also Managing Director of Learn English Today Ltd. Please do not wait until returning home before reporting a problem.
16. Group Leaders Safeguarding Check
Culford School requires that, soon after arrival, group leaders and any other visiting staff must report to the security office, with their passports, to register their arrival on site, to have their photographs taken and to sign a safeguarding undertaking. English Today staff will assist in this process. During school holidays, English Today staff will conduct these processes on behalf of school security.
Under current UK law there is no VAT on the services we provide, and therefore we are not registered for VAT. However if this situation changes we reserve the right to add VAT at the appropriate rate – currently 20%.
18. Use of Images
English Today does take photographs of its students as they experience the fun of a course with us. These photographs are taken so that the students can enjoy seeing themselves in action, and we do use some of them for our own brochures and website. English Today DOES NOT allow any other organization to have use of these photographs. English Today assumes consent of parents for the taking and use of such images, unless parents indicate on application forms that they wish their child to be excluded from any group or action photographs, taken by our staff or sub-contractors. We do not accept responsibility for images taken by fellow students or visiting supervisors.
